Privacy Policy

Voxaro provides an AI phone receptionist service to trades businesses in Canada. This policy explains, in plain language, what information we collect, why, and what we do and do not do with it.
Who we are
Voxaro is a sole proprietorship operating from Surrey, British Columbia, Canada. We can be reached at info@voxarohq.com and we reply within two working hours.
Throughout this policy, "client" means a business that hires us to answer its phone, and "caller" means a member of the public who phones that business.
What we collect
From our clients
- Business name, trade, service area, hours and services offered
- A contact name, email address and phone number for the business
- Billing information, handled by our payment processor — we never see or store full card numbers
From callers
When someone phones a business we answer for, our AI receptionist collects only what is needed to pass along a message:
- The caller's name
- A description of what they are calling about
- A callback phone number
- A service address, where the job requires one
- A written transcript of the call, plus its date, time and language
Our AI does not ask for card numbers, banking details, government identification or health information. If a caller volunteers such information anyway, we do not retain it in our records.
How we use it
- To pass the caller's message and contact details to the client they were trying to reach
- To send the client a text or email alert about a new lead
- To send the caller a confirmation text on the client's behalf, where the client has enabled that
- To provide call logs and transcripts to the client for their own records
- To operate, troubleshoot and improve the quality of the service
We do not sell your information. We do not sell, rent or trade personal information — belonging to clients or to callers — to anyone, for any purpose, ever.
We do not share phone numbers or SMS consent for marketing. Mobile numbers and text-message consent collected through this service are never shared with third parties or affiliates for their own marketing purposes.
Text messages
Text messages sent through Voxaro are transactional. They exist to deliver a lead to a client, or to confirm a booking with a caller who has just phoned in and asked for service. We do not send promotional or marketing text campaigns through this service.
- A caller receives a confirmation text only after they have called the business and given their number for that purpose.
- Anyone can stop messages at any time by replying STOP. Replying HELP returns contact information.
- Message and data rates may apply, depending on the recipient's mobile plan.
- Message frequency varies with call activity.
Who we share it with
Only the service providers that make the product work, and only to the extent they need it:
- Telephone and messaging providers — to place and receive calls and deliver texts
- AI voice providers — to understand speech and generate the receptionist's replies during a call
- Payment processors — to bill our clients
- Our client — the business whose phone was called receives that caller's details, which is the entire purpose of the service
We may also disclose information where legally required to, such as in response to a valid court order.
How long we keep it
Call records and transcripts are kept while the client's account is active, so they can refer back to their leads. When a client closes their account, their call records are deleted within 90 days on request. Clients may ask us to delete specific call records at any time.
Security
Information is held on the secured systems of established service providers, protected by encryption in transit and access controls. No system is perfectly secure, but we limit what we collect in the first place, which is the strongest protection we can offer.
Your rights under Canadian law
We handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation. You have the right to:
- Ask what personal information we hold about you
- Ask us to correct information that is wrong
- Ask us to delete your information
- Withdraw consent to being contacted
- Complain to the Office of the Privacy Commissioner of Canada
To make any of these requests, email info@voxarohq.com. We respond within 30 days.
Children
This service is sold to businesses and is not directed at children. We do not knowingly collect information from anyone under 16.
Changes to this policy
If we change this policy we will update the date at the top of this page. Clients are notified by email of any change that materially affects them.
